ClassTrack Technologies ("ClassTrack," "we," "us," or "our") is committed to protecting the privacy of the institutes, teachers, and administrators who use our mobile application, ClassTrack Admin. This Privacy Policy explains how we collect, use, store, share, and protect information when you use the ClassTrack Admin app on Android devices.

By using ClassTrack Admin, you agree to the collection and use of information in accordance with this policy. If you do not agree with this policy, please do not use the app.

This Privacy Policy applies exclusively to the ClassTrack Admin mobile application, which is designed for and intended to be used by:

• Coaching institute administrators
• Teachers and faculty members
• Institute staff authorized to manage student data

The app is not intended for children under the age of 13. Student information entered into the app is managed solely by the authorized educational institution and its staff.

We collect the following categories of information to provide and improve our services:

1. Account & Institute Information

• Organization / institute name
• Administrator name and role
• Email address
• Login credentials (passwords are stored in hashed form)

2. Student Management Data

• Student names
• Parent / guardian contact numbers
• Attendance records
• Fee records and payment history
• Academic performance and test results
• Class and batch assignment information

3. Communication Data

• SMS reminders and notifications initiated by institute staff through the app
• Parent communication records created and managed by authorized institute staff

ClassTrack Admin does not collect, access, or request the following types of data:

• Precise or background location
• Device contacts
• Photos from device storage
• Videos from device storage
• Audio recordings
• Advertising ID or device identifiers for ads
• Health or biometric information
• Financial account information (bank accounts, cards)
• Government-issued identification numbers

The information we collect is used solely for the following operational purposes:

• Institute administration — managing institute profiles, staff accounts, and organizational settings
• Attendance tracking — recording and reporting student attendance
• Fee management — tracking fee payments, dues, and generating financial summaries
• Academic reporting — recording test scores, performance metrics, and generating progress reports
• Parent communication — sending fee reminders, attendance alerts, and announcements via SMS
• Customer support — responding to inquiries and resolving technical issues
• Service improvement — analyzing usage patterns to enhance app functionality and performance

ClassTrack does not sell personal information.

We share information only under the following limited circumstances:

• Within the institute — data is accessible to authorized staff members of the same institute as configured by the administrator.
• Service providers — we may engage trusted cloud infrastructure providers (e.g., hosting, database, SMS gateway services) to support app operations. These providers are contractually bound to use data only for the services they provide to us.
• Legal compliance — we may disclose information if required by law, regulation, legal process, or governmental request.

We implement reasonable administrative, technical, and physical safeguards to protect the information we collect and store:

• Secure authentication — password-based login with encrypted transmission
• Access controls — role-based permissions ensuring staff only access data relevant to their responsibilities
• Encrypted transmission — data is transmitted over HTTPS / TLS where applicable
• Reasonable safeguards — industry-standard measures to prevent unauthorized access, alteration, or destruction

While we strive to protect your information, no method of electronic storage or transmission is completely secure. We cannot guarantee absolute security.

We retain institute and student data for as long as the institute maintains an active account with ClassTrack and uses the app. Data may be retained for additional periods as required by:

• Operational necessities (e.g., financial record-keeping)
• Legal or regulatory obligations applicable to educational institutions
• Dispute resolution and enforcement of our agreements

Institutes may request deletion of their organizational data by contacting support. We will process such requests in accordance with applicable laws and operational requirements.

Institute administrators and authorized users have the following rights regarding their data:

• Access — view the data associated with your institute account
• Correction — update inaccurate or incomplete institute or student information
• Deletion request — request deletion of organizational data, subject to legal and operational constraints
• Contact support — reach out with privacy concerns or data-related inquiries

ClassTrack Admin is intended for use by institute administrators and staff, not children. The app does not knowingly collect personal information directly from children under the age of 13.

Student information that may be entered into the app (such as names, attendance, and academic records) is provided and managed solely by the authorized educational institution. The institute is responsible for obtaining appropriate consent from parents or guardians for the collection and use of student data.

We may update this Privacy Policy from time to time to reflect changes in our practices, legal requirements, or app functionality. We will notify users of material changes through the app or by updating the "Last Updated" date on this page.

Continued use of ClassTrack Admin after any changes constitutes acceptance of the revised Privacy Policy.
